1. General Refund Policy

Gandaki Travels is committed to fair and transparent refund policies. This policy outlines the terms under which refunds are processed for cancelled bookings, amendments, or service deficiencies.

2. Cancellation Refund Schedule

Refunds for tour cancellations initiated by the traveler are calculated as per the following schedule:

Domestic Tours:
  • 30+ days before departure: 75% refund of total tour cost
  • 15-30 days before departure: 50% refund of total tour cost
  • 7-14 days before departure: 25% refund of total tour cost
  • Less than 7 days before departure: No refund
International Tours:
  • 45+ days before departure: 75% refund of total tour cost
  • 30-45 days before departure: 50% refund of total tour cost
  • 15-30 days before departure: 25% refund of total tour cost
  • Less than 15 days before departure: No refund

Note: Flight tickets, visa fees, insurance premiums, and third-party service charges are non-refundable in all cases.

3. Peak Season & Special Packages

During peak travel seasons (December holidays, summer vacations, Diwali, and major festivals) and for specially discounted packages, the cancellation policy may be stricter. Please refer to the specific package terms provided at the time of booking.

4. Refund Processing

  • All refund requests must be submitted in writing via email to booking@gandakitravels.in
  • Refunds are processed within 7-14 working days from the date of cancellation confirmation
  • Refunds are credited to the original payment method used during booking
  • Bank transfer refunds (NEFT/RTGS) may take 3-5 additional working days
  • A cancellation processing fee of INR 500 per person will be deducted from all refunds

5. Partial Cancellations

If one or more members of a group booking cancel, the refund for the cancelled members will be calculated as per the refund schedule. The remaining travelers may need to pay any difference in group pricing if the group size falls below the minimum threshold.

6. Tour Cancellation by Gandaki Travels

If we cancel a tour due to insufficient participation, operational reasons, or unforeseen circumstances, you are entitled to:

  • 100% Full Refund of all payments made for the tour
  • OR Transfer to an alternative tour of equal or lesser value with the difference refunded
  • OR Credit note valid for 12 months for future bookings

The choice of the above options rests with the traveler. Refunds will be processed within 10 working days.

7. Service Deficiencies

If you experience a genuine service deficiency during the tour (such as a significantly lower category hotel than booked), you must report it immediately to the tour manager. Partial refunds for verified service lapses will be processed within 21 days after completion of the tour, following a thorough investigation.

8. No-Show Policy

Travelers who fail to arrive for the tour departure ("no-show") are not entitled to any refund. This includes missing flights, delayed connections, or failure to obtain necessary travel documents in time.

9. Force Majeure Events

For cancellations due to force majeure events (natural disasters, pandemics, war, civil unrest, government-imposed travel bans, extreme weather), we offer:

  • Rescheduling to a future date at no extra cost (subject to price differences)
  • Credit note valid for 12 months
  • Partial refund after deducting non-recoverable third-party costs

In such cases, refunds are processed after we receive refunds from our partner hotels, airlines, and service providers.

10. Dispute Resolution

In case of any dispute regarding refunds, both parties agree to attempt resolution through mutual discussion. If unresolved, the matter shall be subject to the exclusive jurisdiction of courts in our registered city as per Indian law.
